WordPress multisite development

Write a page once, publish it to every subsite with its own details

An organisation runs a WordPress multisite with many branded community subsites. Every one needed the same pages, each with its own contact names, email and donation link. Keeping them in step by hand was not sustainable, so we built a way to write once and merge per site.

The problem

Each subsite represents a local community, and each needs the same core pages: who to contact, how to help, where to donate. The wording is shared, but the names, email address and donation link are different on every site. Copying pages and editing them by hand meant every change had to be repeated on every site.

What we built

  • A shared-content type on the main site, edited in Beaver Builder like any other page.
  • A shortcode that shows that content on any subsite, merged with the subsite's own details: names, email and donation link, taken from the subsite owner's profile.
  • A list of shortcodes beside each shared item, so staff can copy the right one.
  • In a second stage, a network-admin setting to choose which user's details each subsite uses.

Testing caught two data issues, a stray character in stored donation links and an email address that lives outside the user profile, both handled in the code. After launch we fixed one more: subsite admin-bar links were pointing at the main site.

Results

  • One edit on the main site updates the page everywhere, each copy with its own local details.
  • Content still edited visually, in the builder the team already knew.
  • The client switched between subsites on live and reported every page merging correctly.
