A tournament calendar and officials system for a tennis organisation

The brief

The organisation needed one place for its tournament calendar, organised by event type and category, with different permissions for the people involved. It considered stitching together table plugins, but the workflow was specific enough that a custom plugin was the cleaner answer.

What we built

• A tournament content type, with event types and categories as a two-level taxonomy.
• Three roles: organisation administrators, tournament directors and officials, created through a registration page that assigns the right role.
• Dashboards per role. Directors create tournaments and track them as pending, approved or rejected. Administrators see every tournament and approve them.
• A calendar overview of approved tournaments for officials.
• Officials apply for a tournament and choose the specific dates they can work; administrators assign officials per role, save, and only then send the confirmation emails, to avoid mistakes reaching people's inboxes.

The organisation tested each milestone and we worked through their remarks in rounds, from email wording to how the list refreshes after a deletion.

Results

• Tournaments, directors and officials managed in one system instead of email threads.
• Clear status for every tournament and every official's availability.
• A client who came back to scope their next, larger product with us.
